General Terms and Conditions
The following General Terms and Conditions apply to participants of the BABS Congress in Disaster Medicine 2026, hereinafter referred to as the “Congress”.
Registration is binding. Only participants with an appropriate medical and/or scientific background or qualification are eligible to participate.
Upon receipt of the registration, a legally valid agreement is established. Confirmation of participation will be sent by e-mail.
Participation in the Congress is free of charge.
Cancellation is free of charge until January 31, 2027. Any cancellation must be communicated in writing by e-mail to registration@medworld.ch.
For cancellations received after January 31, 2027, an administrative fee of CHF 30.00 will be charged.
In case of non-attendance without prior written cancellation, an administrative fee of CHF 50.00 will be charged. This fee contributes to organizational and operational costs already incurred by the Congress organization, including catering, venue logistics, staffing and reserved participant services. As the Congress is planned based on confirmed registrations, timely cancellations are essential in order to avoid unnecessary costs and food waste.
These conditions also apply in the event of non-attendance due to force majeure, illness, accident or similar reasons.
Replacement Participant
Replacement participants may be nominated at any time by written notification to the Congress organization.
Caused by the Organizer
If the Congress is postponed, the registration will automatically remain valid for the new date.
Participants may withdraw their registration within two months after notification of the postponement. In such cases, no administrative fee will be charged.
If the Congress is cancelled by the organizer, participants are not entitled to compensation for any resulting costs or damages.
Not Caused by the Organizer
If the Congress cannot take place, is interrupted or cancelled due to circumstances beyond the organizer’s control, including force majeure or equivalent events such as epidemics/pandemics, threats to public health, national mourning, weather conditions, strikes or war, the organizer cannot be held liable for any resulting losses or damages.
If the Congress is postponed due to such circumstances, registrations will automatically remain valid for the postponed date.
Participants are not entitled to reimbursement of travel, accommodation or other expenses, nor to compensation for loss of working time or any further damages.
If the format of the Congress is changed to a hybrid or fully virtual/online format due to circumstances beyond the organizer’s control, registrations will automatically remain valid for the new format.
Compliance with Swiss data protection regulations is a matter of course for the Congress organization.
Participant data will not be shared with third parties (except the organizer) and will only be used for the organization of the Congress.
Participants agree that the Congress organization may share contact details (title, first name, surname, workplace, postal code, city and country) with official partners of the Congress and the Federal Office for Civil Protection FOCP (BABS). If this is not desired, participants must notify registration@medworld.ch in writing immediately after registration.
In addition, participants agree to be informed by the Congress organization about future events and offers. Unsubscribing from these communications is possible at any time.
Any further use of personal data will be regulated or agreed upon separately where required.
Participants acknowledge that photographs, video recordings and audio recordings may be taken during the Congress and published after the event on the Congress website, in professional journals, publications and social media channels.
By registering and accepting these General Terms and Conditions, participants consent to the use and publication of such recordings.
Participants who do not wish to appear in such recordings must inform the responsible photographer or recording staff on site immediately.
By registering, participants acknowledge the safety, access and other event regulations of the Congress and agree that they may be excluded from the event without compensation if these regulations are violated.
The organizer and the Congress organization shall only be liable for claims relating to bodily injury caused intentionally or negligently, or for property damage caused intentionally or through gross negligence by the organizer.
Any further liability is excluded.
The organizer shall not be liable for loss or theft of personal belongings brought to the Congress.
Insurance for personal injury and property damage is the responsibility of the participant.
In case of disagreement, the contracting parties shall in any case submit to the ordinary courts of the Canton of Zug. The court shall be governed exclusively by "Swiss law".
